Autosport Awards 2016: Event Production

Last Sunday at the Grosvenor House Hotel on London’s Park Lane, the world’s largest and most prestigious motorsport awards show kicked off to jubilant applause as Nico Rosberg made a grand entrance.  

More than 1,000 guests enjoyed a Champagne reception in the Ballroom followed by a three-course dinner and awards ceremony in the Great Room.

This was the 30th Autosport Awards show that we’ve produced for our client, Autosport Media UK. Our role is the creation of the environmental and staging design and full implementation of the production. With great care and precision in planning and delivery, we’re proud to deliver a professional, flawless event every year.

Delivering this very large scale, high-end award show is an advanced production and logistical exercise. This year’s show was also broadcast live online and on television on Sunday evening. Total care and accuracy throughout the planning process and during execution and delivery was essential for a smooth running and successful event. We plan the timings of the show down to the second and manage live links with television crew, presenters and award winners.

Event Production

Technical production is at the heart of our planning. Our expertise is in stage design, build and management, rigging, lighting, graphics, audio visuals, pyrotechnics, logistics, risk assessment, health and safety, contingency planning and management.

We start the day at 4am, bringing in all the elements needed for construction and display, including three iconic racing cars. Our team includes a project manager, show caller, front of house manager and assistants, stage manager, hostesses and front of house liaison. We manage the technical and stage movement rehearsals during the day, briefing the team and key presenters, and run through the banqueting schedule and show timings.

Throughout the evening we ensure presenters are back stage in time to be briefed by our stage manager. We’re personally onsite and in constant contact with the catering manager to ensure the smooth running of catering services with the show programme, keeping regular checks on time as it relates to the pre-prepared running order. We escort award winners to photography and press.

It’s about all the detail that, as a guest, you’d only notice if it wasn’t there.

Described as the most prestigious motorsport awards show in the world, the Autosport Awards has given us a great platform for innovation and creativity. This year we installed an exhibition alongside F1 and F2 racing cars and in the Ballroom for the reception featuring artwork by technical illustrator Giorgio Piola. We managed the event music, created the graphics and voice overs, built the main stage and installed lighting, sound and pyrotechnics that thrilled the audience at the show finale as Lando Norris was presented with the McLaren Autosport BRDC Award.
